AI bot for a customs broker: what does it do instead of an operator
The customs broker operator spends 4 hours a day on the same questions. “What documents are needed for customs clearance?” “How much does a container from China cost?” “Where is my cargo?” He answers, but at this time he misses a call from a client who is ready to arrange transportation right now.
This is a real situation with which a customer came to us – the logistics company D2D Logistics from Novorossiysk. At web studio 12ia we created a corporate website for their partner BKP website development case LLC with an AI bot for a customs broker, which closed standard requests. We’ll tell you how it works and what has changed.
Client and task: container shipping without chaos
Bronirovanie Container Transportation LLC (BKP LLC) is a company from Novorossiysk, working in conjunction with D2D Logistics. Area of expertise: logistics and customs clearance. Target audience: importers, exporters, logistics managers who need to transport cargo across the border and not drown in paperwork.
What did you come with:
- There is no normal website – the old page does not inspire confidence and does not bring in applications
- Operators are inundated with the same type of questions about tariffs, documents and statuses
- Clients from other time zones write at night – and do not receive a response until the morning
- No system: applications are lost between mail, instant messengers and calls
Task: to create a corporate website on WordPress with online booking of container transportation, a tariff calculator, a module for uploading documents for customs – and a chat bot for logistics, which will take over the routine of operators.
What we did: website + bot + integrations
Landing page with reservation form and calculator
We put together a landing page on WordPress with a focus on conversion. Not a business card “about us and our values”, but a tool through which the client can calculate the cost of transportation and leave a request in 2 minutes.
Key blocks:
- Tariff calculator – the client selects the route, container type, and specifies the cargo parameters. Receives a preliminary cost without calling the operator
- Online booking form – application for container transportation with a choice of dates, route and additional services
- Document upload module – the client attaches invoices, packing lists, certificates directly through the website. Everything goes into the system and is not lost in the mail
AI chatbot: trained on company data
The main thing is why everything was started. AI bot for customs broker is not a push-button menu with five answer options, but a full-fledged assistant that understands free text and responds to the point.
What the bot was trained on:
- Tariffs for container transportation by main destinations
- List of documents for customs clearance by type of cargo
- Typical customer questions from real operator correspondence
- Regulations and terms of customs procedures
- Frequently requested HS codes and duty rates
What the bot does instead of the operator:
- Answers questions about tariffs – “How much does a 40-foot container cost from Shanghai to Novorossiysk?” The bot gives an estimated cost and invites you to fill out an application
- Advises on documents – “What documents are needed to import electronics?” The bot displays a list with explanations
- Informs the status of the cargo – the client enters the request number and receives information about the current stage
- Qualifies the lead – asks clarifying questions, collects contacts and transfers the “warm” client with context to the manager
If the question is outside the scope of the knowledge base, the bot does not make things up. He says: “It is better to discuss this issue with a specialist. I’m connecting a manager” – and transfers the dialogue to a live operator with a complete history of correspondence.
Notification integration: CRM, Telegram, WhatsApp
The bot and the website are the entry point. But without normal routing, applications are still lost. Therefore, we have set up automation of customs clearance at the notification level:
- CRM – every application from the site and every dialogue with the bot automatically creates a deal. The manager sees the history, contact, type of request
- Telegram – instant notification to the responsible manager. New request – push to work chat with details
- WhatsApp – for customers who prefer this channel. The bot works there too, with the same level of responses
Result: not a single application hangs. The client writes to any channel – the bot responds instantly, and the manager receives a notification with full context.
What has changed since launch
Figures that we recorded in the first month of work:
- 70% of typical requeststhe bot closes without operator participation
- Average response time – 15 seconds instead of 2-4 hours
- Night and weekend calls are no longer lost – the bot works 24/7
- Operators switched to complex transactions, negotiations, non-standard cargo
The main thing is that the operator no longer spends half a day asking “what documents are needed for customs clearance of clothes.” The bot knows the answer because we loaded it with real company data, and not template texts from the Internet.
Why does this work specifically for foreign trade and logistics
Bot for foreign trade activities is not a universal seller, but a narrow specialist. Logistics is an area where 80% of questions are typical, but at the same time require expert knowledge. The client does not want to google HS codes and understand customs regulations. He wants to ask in simple language and get a clear answer.
This is where the AI bot gives maximum impact:
- High repetition of questions – tariffs, documents, deadlines, statuses. The bot closes it without loss of quality
- Complex subject area – clients appreciate when they receive an accurate answer quickly, and not “send a request by email”
- Different time zones – importers and exporters work throughout the country and abroad. The bot responds at any time
- Lots of documents – the bot doesn’t just list a list, but explains why each document is needed and where to get it
Who is this solution suitable for
This case is about a customs broker, but the scheme itself – website + calculator + AI bot + integrations – works for any business in logistics and foreign trade:
- Customs brokers and representatives
- Forwarding companies
- Container carriers
- Warehouse operators and 3PL providers
- Any business where clients ask a lot of typical questions that require expertise
More details about how we create AI bots for business tasks can be found on the page development of bots with artificial intelligence. And if you need comprehensive automation of business processes – CRM, notifications, document flow – this is also for us.
What’s next
BKP LLC is currently finalizing the bot: adding new routes to the calculator, expanding the knowledge base on customs procedures, and connecting a voice assistant for telephone calls. A bot is not the final point, but a foundation that grows with the business.
Want to learn more about what an AI bot can do and how much it costs? Question for you: how many questions of the same type have your operators answered over the last week? If more than fifty, you have a job for the bot.
