AI bot for business: what it can really do and how much it costs
67% of business calls come during non-working hours. This is not our imagination – these are statistics on the projects we are leading. Two out of three potential clients write in the evening, at night or on weekends. And if at this moment there is no one to answer, they go to the competitor who answered.
AI bot solves exactly this problem. It doesn’t “replace a person” (forget this marketing nonsense), but closes the hole through which money flows. We at web studio 12ia make such bots for various industries – from AI bot for a customs brokers to recreation centers. And we see how some businesses implement them wisely, while others expect magic from the bot. This article is for you to be in the first group.
What is an AI bot and how does it differ from a regular chat bot
A typical how an AI bot differs from a regular chatbot is a tree of scripts. The client presses a button, the bot issues a prepared response. If the question does not fit into the script, the bot breaks down and is annoying.
Chatbot with artificial intelligence works differently. He understands free text, takes into account the context of the conversation, can ask again if he doesn’t understand something, and gives meaningful answers to questions that no one has written down in advance.
The difference is like between an answering machine and a live operator. The answering machine says “press 1 for sales.” The AI bot asks: “Do you want to know the price or are you ready to place an order?” – and continues the dialogue.
What’s under the hood: large language models (LLMs) that are trained on business-specific data. The bot knows your price, your services, typical customer questions – and answers as an experienced manager would. Only faster and without lunch breaks.
What an AI bot can really do: tasks by role
Seller bot
The most popular type. Works on the website, Telegram or WhatsApp. The task is to bring the client to an application or purchase.
- Answers questions about goods and services (prices, terms, availability)
- Helps you choose the appropriate option by asking clarifying questions
- Collects a contact and transfers a “warm” client to the manager
- Calculates preliminary cost by parameters
Case: for a logistics company we made a bot for the website, which calculates the cost of delivery according to the route and dimensions of the cargo. Previously, the client filled out a form and waited 2-4 hours for a response. Now receives calculations in 30 seconds. Application conversion increased by 40%.
Bot assistant
Internal tool for employees or information assistant for clients.
- Answers frequently asked questions (FAQ on steroids)
- Searches for information in the company’s knowledge base
- Helps with documents: tells you what is needed for registration
- Gives instructions for using the product
Case: for a customs broker we created a bot that knows the HS classifier (13,000+ codes), duty rates and registration rules. The client describes the product in ordinary words – the bot selects the code and reports the duty rate. Previously, this took a specialist 15–30 minutes.
Bot operator
Processes incoming requests, classifies them and routes them.
- Accepts applications and distributes them to departments
- Records complaints and transfers them to those responsible
- Make an appointment or book a service
- Sends notifications about order status
Case: recreation center – incoming messages in VK, WhatsApp and on the website. One bot processes all channels, answers questions about available dates, calculates the cost of accommodation and makes a reservation. The administrator is connected only for non-standard requests.
Where does the AI bot work: channels and integrations
A good bot is not one that “lives” on the site. And the one that meets the client where the client is used to communicating.
Messengers and social networks
- Telegram bot for business is the most popular channel. Fast development, user-friendly interface, buttons, cards, payment directly in chat
- WhatsApp – for an audience of 35+ who are accustomed to this messenger. Integration via WhatsApp Business API
- VK – for business with an audience on this social network. The bot responds in community messages
Website
The widget in the lower right corner is a classic. But the AI bot does not work like a standard online consultant. He doesn’t just say “leave a request,” but conducts a full-fledged dialogue, helps you find the necessary information and leads you to the target action.
Integration with CRM
A bot without a CRM is a notepad that no one looks into. We connect bots to Bitrix24, amoCRM, and other systems. Each request automatically goes into the sales funnel with contacts, dialogue history and tags.
Result: the manager opens the CRM and sees a ready-made lead with context – what the client asked, at what stage he stopped, how “hot” he is. No need to ask again, no need to restore history.
How much does an AI bot cost: price table
The price depends on the complexity. Below are guidelines based on our projects. These are not “average temperatures in the hospital”, but real arbs for specific types of bots.
| Bot type | What’s included | Cost | Deadlines |
|---|---|---|---|
| Simple AI bot | 1 channel (website or Telegram), answers from the knowledge base, collection of contacts, up to 50 scenarios | from 30,000 ₽ | 5–10 days |
| Average AI bot | 2–3 channels, integration with CRM, cost calculation, personalization of responses, analytics | from 80,000 ₽ | 2–4 weeks |
| Sophisticated AI bot | All channels, deep integration with CRM and accounting system, multilingual, voice mode, training using company data | from 150,000 ₽ | 1–2 months |
What affects the cost of an AI bot:
- Number of channels. One Telegram is cheaper. Telegram + WhatsApp + website + VK – more expensive, because each platform has its own characteristics
- Integrations. Connection to CRM, 1C, databases, payment systems – each integration adds to the budget
- AI depth. Simple answers to FAQ – one price. Cost calculation, selection of goods, work with documents – other
- Knowledge base volume. Train a bot to answer 20 questions quickly. 500 pages of documentation – longer and more expensive
A separate expense item is support. The AI bot is not “set it and forget it.” Models are updated, business changes, new questions from clients arise. Support costs 5,000–15,000 ₽/month depending on the load.
When an AI bot pays off (and when it doesn’t)
The bot pays off if:
- You have more than 20 requests a day and managers do not have time to respond
- Customers write after hours, but in the morning they have already purchased from a competitor
- 80% of questions are typical, and the manager wastes time on the same thing
- You are losing customers due to a long response (more than 5 minutes is already a long time)
The bot will not help if:
- You have 2-3 clients a week – it’s easier to answer yourself
- Each transaction is unique and requires deep human expertise
- There is no clear understanding of what problem the bot should solve
Simple calculation. The manager processes 50 requests a day, spending an average of 10 minutes on each. That’s 8+ hours of pure work. The AI bot takes care of 70% of typical questions – 35 requests. The manager frees up 6 hours a day for complex transactions. With a manager’s salary of 60,000 ₽/month, an average-level bot pays for itself in 2–3 months.
How we make AI bots: development process
In short, we don’t start with code. We start with the question: “What specific problem are we solving?”
- Audit. We look at current requests: where they come from, what they ask, where they get lost. We analyze correspondence between managers – this is the main source of data for training the bot
- Design. We define channels, scenarios, integrations. Let’s draw the logic: what does the bot do on its own, and where does it connect a human
- Development We set up an AI model, train it on business data, connect it to channels and CRM. 5-question test: do you need an AI boting on real questions
- Launch and training. The first 2 weeks are “with safety net” mode. The manager sees all the dialogues, corrects the answers, the bot learns
- Support. Monthly analysis: what questions the bot did not understand, where clients “fall off”, what needs to be added to the knowledge base
We work on WordPress with Elementor – our clients’ sites are built on this stack. The bot is embedded into the site as a widget and does not break the layout. Learn more about AI bot development on our services page.
Frequently asked questions about AI bots for business
A bot will replace managers?
No. The bot replaces routine, not people. The manager stops answering “Yes, delivery is free from 5000” for the hundredth time and deals with complex sales, negotiations, and non-standard situations. Where a person is needed, a person remains.
What if the bot answers incorrectly?
AI bot works within the knowledge base that we create together with you. He doesn’t make things up—he answers based on verified data. If the question goes beyond the scope, the bot honestly says “I’ll connect a specialist now” and passes the dialogue to the manager.
How long does it take for the bot to start working normally?
Basic bot – a week after launch. But the first month is a period of “additional training”. The bot encounters real-life questions that we couldn’t foresee, and we’re improving it. By the end of the first month, the bot is 90%+ accurate.
Can I connect a bot to my CRM?
Yes. We integrate bots with Bitrix24, amoCRM and other systems. If you have a self-written CRM, we’ll discuss it; usually this can also be solved via the API. More information about integrations can be found on the page business process automation.
What’s next
AI bots in 2026 are not hype or an experiment. This is a working tool that solves a specific business problem: not losing clients when the manager cannot answer. Period.
But here’s a question worth asking yourself: how many calls is your business losing right now – in the evening, at night, on weekends? If you don’t know the exact number, that’s a reason to figure it out.
Do you want to know what kind of bot your business needs? Leave a request – we’ll analyze your situation and offer a solution. No templates, tailored to your needs.
